Event Registration Terms and Policies

Thank you for registering for our event. By completing your registration, you agree
to pay all required attendee fees and to adhere to these policies and any additional
venue-specific rules. Registration fees are non-refundable unless explicitly stated
otherwise in a separate cancellation policy for the event. By attending, you consent
to the capture and use of audio and video recordings of you during the event for
promotional, educational and marketing purposes. We make reasonable efforts to
notify attendees when recording is taking place. You may opt-out of being recorded
by notifying event staff in writing.
Who This Applies To
These terms and policies apply to all event participants, including MEMA employees,
attendees, sponsors, speakers, media, moderators, vendors, venue staff and
volunteers, across all MEMA events and meetings, whether virtual or in-person.
Expected Behavior
We are committed to ensuring that MEMA events serve their professional and
educational purposes. We strive to create a welcoming and uplifting atmosphere for
everyone. Participants are expected to respect the rights, privacy, safety and
dignity of others by:
- Upholding the professional and educational goals of the event by
demonstrating respect, professionalism and consideration in all interactions. - Engaging in professional and courteous behavior.
- Creating a supportive environment by listening actively, collaborating and
respecting diversity, including communication differences. - Respecting participants' privacy and seek consent before making audio-visual
recordings, quotes or taking photographs. - Addressing disagreements constructively and act with fairness, honesty and
good faith. - Practicing courtesy by being mindful of your tone and words, both in person
and online.
Unacceptable Behavior
Certain conduct is not tolerated:
- Any behavior that undermines open dialogue or thoughtful expression is
unacceptable. This includes intimidating, harassing, abusive, discriminatory,
derogatory or demeaning language or conduct. - Harassment, including offensive comments related to race, gender, gender
identity and expression, national origin, religion, disability, marital status,
age, sexual orientation, military or veteran status or other protected
categories; inappropriate use of nudity or sexual images; deliberate
intimidation, stalking, following; unwelcome sexual attention; and sustained
disruption of events. - Wearing clothing that is unprofessional, provocative or otherwise offensive.
- Engaging in any behavior that creates a disturbance or danger, such as
abuse, intimidation, threats, stalking or spamming. - Any act that disturbs the peace or involves unlawful or offensive behavior.
- Non-compliance with event rules or policies.
Health and Safety
- Your safety is our priority. We coordinate with the conference venue and local authorities to ensure health and safety. Updated policies may be issued before the event and will apply to all attendees.
- By attending, you acknowledge the inherent risks associated with public gatherings, including potential exposure to communicable diseases and viruses. While we implement reasonable safety measures, we cannot guarantee against exposure. You agree to follow all posted health and safety protocols and assume the risk of attending. This release of liability does not apply to cases of gross negligence or willful misconduct.
- Participants are prohibited from possessing any weapons of any kind while at MEMA Events. Weapons include guns of any type, knives other than standard box cutters, mace, explosives or any item with the potential to inflict harm. This list is illustrative only, and not exhaustive.
- MEMA maintains a MEMA Event Emergency Plan for your reference.

Antitrust Compliance
All MEMA events must comply with our Antitrust Policy, Procedures, and Guidelines, available here.
Consequences of Failure to Comply
- MEMA has sole discretion to determine and respond to violations of these terms and policies.
- MEMA and conference organizers may take immediate appropriate action for violations, including but not limited to verbal warnings, expulsion from the event without refund and/or reporting to appropriate authorities. The severity of the action will be proportionate to the violation.
- Individuals asked to cease unacceptable behavior or other violations must comply immediately.
- MEMA also may take appropriate action, including revocation of membership or exclusion from future events.
